Build the document in the right order

1. Lock the product architecture

Name the cap profile, number of panels, front-panel support, crown height, brim shape, and closure. Include front, side, rear, and inside views. 2. Separate materials from performance claims

“Moisture-wicking polyester” is not a complete material specification. Record the supplier article or approved swatch, composition, weight, weave or knit, stretch direction, finish, and color reference. If a performance claim matters, name the agreed test method and acceptance criterion. Do not use a marketing phrase as a substitute for a test requirement.

3. Create a measurement diagram

Give each point of measure a code and show exactly where the tape starts and stops. Useful measurements may include crown height, front-panel width, visor length, visor width, sweatband circumference, closure opening, and strap length. State whether the cap is measured relaxed, closed to a setting, or placed on a form. A tolerance is meaningful only when the measuring method is consistent.

4. Specify ventilation as geometry

For laser-cut panels, include the hole shape, size, pitch, field boundary, and clearance from seams and logos. For mesh, name the mesh article, color, stretch direction, and panel placement. This prevents a generic “breathable side panel” note from producing a different visual density in each sample.

5. Give artwork production data

Supply vector artwork when available. Mark the finished width and height, center point, distance from seams or brim, application technique, thread or color references, backing preference, and whether the logo crosses a panel seam. 6. Include market-specific labels and packaging

List the destination markets so labeling can be reviewed before bulk production. Your company remains responsible for determining which rules apply to the finished product and sales channel, so confirm legal requirements with a qualified compliance adviser.

Add a decision log, not just drawings

Sampling creates new information. Put each approved change into the tech pack with the date, revision number, owner, and affected pages. Avoid filenames such as “final-final-2.” A simple change log prevents an approved sweatband or logo size from being replaced by an older version when files move from development to production.

The handoff should match the milestones in your sampling and cooperation process. Before production, the factory and buyer should be working from the same released revision and the same approved physical reference.
