Performance Cap RFQ Checklist for Accurate Factory Quotes

Use this performance cap RFQ checklist to define construction, materials, branding, quantities, compliance, timing, and delivery for accurate factory quotes.

А performance cap RFQ checklist gives a manufacturer enough information to quote the same product you intend to sample. A useful request includes the cap construction, end use, materials, ventilation, branding, quantity by color, target market, labels, packaging, destination, delivery window, and trade term. Without those inputs, a fast price is usually based on assumptions and may change after development begins.

This guide is for founders, product managers, and sourcing teams comparing private-label cap suppliers. Use it with the available custom performance cap constructions to turn a visual idea into a quote-ready brief.

Why performance cap quotations vary

Two suppliers can return very different numbers because they have quoted different products or commercial scopes. “Polyester running cap with logo” leaves open the fabric article, weight, finish, panel count, structure, perforation, sweatband, closure, logo method, packaging, testing, quantity split, and delivery basis.

The lowest initial number may exclude sampling, specialized materials, individual packaging, lab testing, or delivery-related costs. The solution is to send the same RFQ package to each supplier and compare line items, assumptions, and exclusions.

The performance cap RFQ checklist

RFQ section Information to provide Why the supplier needs it
Buyer context Brand website, sales market, channel, and project owner Shows the product positioning and decision path
End use Running, golf, training, outdoor, uniform, event, or retail use Guides fit, material, ventilation, and durability questions
Строительство Panel count, crown profile, structure, brim, closure, and size range Defines the base pattern and operations
Материалы Composition, weight, stretch, finish, mesh, perforation, and sweatband Controls performance, availability, and price
Брендинг Artwork, size, placement, colors, and application method Determines digitizing, setup, and decoration cost
Quantity Total units and breakdown by style, color, and size Identifies changeovers and the applicable MOQ
Market requirements Destination countries, testing, labels, packaging, and retailer rules Prevents late compliance or packing changes
Timing and delivery Sample deadline, required delivery date, destination, and trade term Defines the schedule and quoted commercial scope

Start with the use case, not a feature list

Explain who will wear the cap, during which activity, and in what conditions. A lightweight running style used in heat may prioritize low bulk, ventilation, moisture handling, and secure fit. A golf program may place more weight on crown presentation, logo clarity, sun coverage, and all-day comfort. A uniform cap may need repeated-care consistency and a stable replenishment specification.

Use conditions help the supplier ask useful questions instead of guessing from broad words such as “technical” or “breathable.” If material selection is still open, include your priorities and review the guide to performance hat materials.

Define the product at quotation level

Cap architecture

State the number of panels, crown height or reference fit, structured or unstructured front, seam layout, visor length and curve, closure, and size plan. Photos should be labeled to show which features are references rather than copied wholesale.

Material and ventilation

Provide an approved fabric code or describe composition, weight range, stretch, surface, finish, and color direction. For laser perforation, attach a drawing showing hole shape, size, pitch, field location, and seam or logo clearance. For mesh, specify the visual openness, stretch direction, and color expectation.

Sweatband and inside construction

Name the sweatband direction, desired width, stretch behavior, color, seam tape, labels, and any forehead-comfort concern. These components can change fit and cost even though they are not prominent in an exterior rendering.

Artwork and branding

Attach vector files where possible and identify the finished size, location, colors, and technique for every logo. Include front, side, rear, inside, and closure branding. Review available варианты настройки крышки if you need to compare embroidery, patches, transfers, or badges.

Give a real quantity breakdown

A total quantity without a color and size split can hide the number of production changeovers. Provide a table such as:

Стиль Цвет Size or closure Quantity Logo version
Running cap Color A Регулируемый Enter target units Main logo
Running cap Color B Регулируемый Enter target units Main logo
Team edition Color C Регулируемый Enter target units Alternate logo

Ask the supplier to state the MOQ that applies to each construction, color, and logo version. Our custom hat manufacturing guide gives more context on how construction and quantity affect development and pricing.

Clarify what the quoted price includes

  • Sample, pattern, artwork, digitizing, mold, or setup charges
  • Production unit price and quantity break
  • Specified materials, components, decoration, and labels
  • Individual packaging, carton packing, and carton marks
  • Testing, inspection, and third-party service costs
  • Payment terms, quote validity, and stated exclusions
  • Trade term, named place, and version

Incoterms rules allocate defined responsibilities, costs, and risks between sellers and buyers; they do not describe the cap itself. The International Chamber of Commerce provides the official overview of Incoterms 2020. State the chosen rule, named place, and version in the RFQ, and obtain qualified trade advice when needed. A vague note such as “shipping included” is not a complete delivery basis.

Include destination-market requirements early

List every intended sales market and any retailer or platform manual. Requirements may affect fiber and origin labels, care information, packaging warnings, barcodes, carton labels, testing, or documentation. For U.S. textile products, consult the Federal Trade Commission’s primary guide to textile and wool labeling requirements and confirm the rules that apply to your product with a qualified adviser.

How to compare supplier responses

Put responses into one comparison sheet. Separate product price from development, testing, packaging, and delivery. Record the quoted material, construction, quantity assumption, sample plan, production lead-time basis, payment terms, validity, and exclusions. Mark unanswered questions rather than assuming they are included.

Also compare the path from inquiry to sample and production. A clear процесс сотрудничества helps you identify when specifications, costs, samples, and approvals are locked.

Frequently asked questions

Can I request a quote without a finished tech pack?

Yes. Send the most complete brief available, including reference images, intended use, construction priorities, artwork, quantity split, destination, and timing. Expect the first response to identify open decisions before a firm production quote is possible.

Why does the unit price change after sampling?

The sample may introduce a different fabric, logo method, component, construction step, testing requirement, or packaging format. Ask the supplier to document which approved changes affect the price.

Should I ask every supplier for the lowest MOQ?

Ask for the MOQ that applies to the exact style, color split, and branding. A lower number is useful only if the supplier can make the approved construction consistently and the commercial terms fit your program.

What delivery date should I provide?

Provide the date the goods are required at the named destination, not only the desired factory completion date. The quotation should distinguish sampling, production, inspection, and transit assumptions.

What makes an inquiry easier to answer accurately?

A brand or company website, product reference, intended use, specifications or tech pack, vector artwork, quantity by color, destination, and required delivery date give the supplier enough context to identify the remaining questions.

Send a quote-ready performance cap inquiry

If you are sourcing performance caps for a real brand, retail, team, or uniform program, send your company website, product reference or tech pack, intended use, quantity by color, logo files, destination, and required delivery date through our Contact Us page. You can also use the inquiry form at the bottom of this page. Those details let our team review the construction and return focused questions instead of a price built on guesswork. Answers to common process questions are also available in our manufacturer FAQ.
